The fine print
Terms & Conditions
These terms apply to every session booked with Palm Tree Photography. By completing a booking you confirm that you have read and accepted them.
01
Bookings & confirmation
- A booking request is made by selecting a package, an available date and time, and completing the booking form in full.
- Your booking is only confirmed once payment has been successfully received. Until then the date and time remain available to other clients.
- A date and time can only be held by one client. The system prevents double bookings automatically.
- You will receive a booking reference immediately after submitting your request. Please quote it on all payments and correspondence.

Payments & deposits
- All prices are quoted in South African Rand and include the photographer's time, travel within Kimberley, and the stated number of professionally edited images.
- Where a deposit is offered, the deposit secures your date and the balance is payable before the session begins.
- Payment is made by secure EFT bank transfer to the account details supplied with your booking confirmation. Proof of payment must be sent via WhatsApp or email.
- Sessions where the balance has not been received before the start time may be shortened or forfeited at the photographer's discretion.

Cancellations
- Deposits are non-refundable. They compensate for the date being held and turning away other clients.
- Cancellations made more than 7 days before the session may be converted into a credit toward a future session within 6 months.
- Cancellations made within 48 hours of the session forfeit the full amount paid.
- If the photographer must cancel for reasons within her control, all monies paid are refunded in full or the session is rescheduled at your election.

Rescheduling
- One free reschedule is allowed if requested at least 7 days before the session, subject to availability.
- Further reschedules may incur an administration fee of 20% of the package price.
- Outdoor sessions affected by unsafe weather will be rescheduled at no cost to you. The photographer's assessment of weather conditions is final.

Late arrivals
- Session time begins at the booked start time, whether or not the client has arrived.
- A grace period of 15 minutes is allowed; thereafter the session is shortened by the time lost.
- Arriving more than 30 minutes late may be treated as a cancellation, with the full amount forfeited.

Image delivery
- Mini and portrait sessions are delivered within 7–10 working days; events within 14 working days; weddings within 4–6 weeks.
- Images are delivered via a private online gallery with high-resolution downloads. Galleries remain available for 60 days.
- The number of edited images stated in your package is the number you receive. Additional edits may be purchased.
- Unedited or RAW files are not supplied under any circumstances.

Editing
- Editing includes colour grading, exposure correction, cropping and light blemish removal in the photographer's signature style.
- Extensive retouching, body reshaping, object removal and compositing are not included and are quoted separately.
- The photographer's artistic and editing style is part of the service. Requests to re-edit images in a materially different style may be declined or quoted.

Copyright & usage
- Copyright in all photographs remains with Palm Tree Photography at all times.
- Clients receive a personal, non-commercial licence to print, share and display their images.
- Images may not be edited, cropped, filtered or altered before sharing, and may not be sold or used commercially without written permission.
- Palm Tree Photography may use images for portfolio, website and social media purposes unless you request otherwise in writing before the session.

Client responsibilities
- Clients are responsible for arriving on time, styled and ready to shoot, and for the behaviour of everyone in their group, including children and pets.
- Any permits, venue fees or entrance costs required for the chosen location are for the client's account.
- Clients must inform the photographer in advance of any access, mobility, medical or safety considerations.

Photographer limitations
- The photographer cannot be held liable for missed moments caused by circumstances outside her control, including guest behaviour, venue restrictions, weather, load shedding or third-party suppliers.
- In the event of equipment failure, illness or emergency, the photographer will make reasonable efforts to arrange a suitable replacement or reschedule; liability is limited to a refund of monies paid.
- The photographer reserves the right to end a session where she, her equipment or any person present is placed at risk, or where behaviour is abusive or unsafe.

Trainee & mentee photographers
- Palm Tree Photography mentors trainee photographers as part of its commitment to growing local talent.
- Where a session will be photographed by a trainee, you will be clearly informed at the time of booking — trainee packages are labelled as such on the packages page.
- Trainee sessions are offered at a discounted rate in recognition of the fact that the photographer is currently in training.
- By booking a trainee session you acknowledge and accept that the photographer is still developing her skills and that results may differ from those of the lead photographer.
- Lead photographer editing and/or on-shoot oversight may apply where applicable, and will be indicated on the package.
- The standard delivery, copyright and cancellation terms above apply equally to trainee sessions.

Privacy
- Personal information supplied during booking is used solely to administer your session and is never sold or shared with third parties.
- You may request access to, correction of, or deletion of your personal information at any time.
Last updated 2026. Palm Tree Photography reserves the right to update these terms; the version accepted at the time of booking applies to that booking.
